1. Who this policy applies to
These policies apply when you use PitchLink as a player, booking customer, venue owner, coach, trainer, team captain, community game host, participant, supporter, or site visitor.
By using PitchLink, creating an account, submitting a booking request, joining a community activity, listing a venue, or contacting us, you agree to use the platform in line with these policies and any specific venue terms shown during the booking process.
2. Personal data we collect
We may collect account details such as your name, phone number, email address, role, login information, and verification status.
We may collect booking and venue details such as selected venue, dates, times, sport type, payment status, booking notes, cancellation or refund records, and communication needed to complete a booking.
For community games and teams, we may collect team names, participant names, preferred roles, side selection, score submissions, rankings, public game details, join requests, and captain or team contact information.
For payments and support, we may process transaction references, amounts, payment method labels, support messages, device or browser information, page activity, and audit records needed to protect the platform.
3. Why we use personal data
We use personal data to create and secure accounts, process bookings, coordinate venue requests, manage payment and refund workflows, publish community games, maintain team standings, provide support, prevent abuse, and improve platform reliability.
We may also use contact details to send important account, booking, payment, venue, safety, score reminder, team, or service messages. Marketing or promotional messages can be controlled through available unsubscribe or preference options where provided.
4. Lawful handling and privacy rights
PitchLink is intended to handle personal data in a lawful, fair, transparent, and purpose-limited way, guided by applicable Kenyan data protection requirements.
Depending on the circumstances, you may request access to your personal data, correction of inaccurate details, deletion where retention is no longer required, restriction or objection to some processing, portability where applicable, or information about how your data is used.
Some requests may be limited where we need to keep information for booking records, payment reconciliation, dispute handling, fraud prevention, legal compliance, security, or legitimate platform administration.
5. Sharing with venues, partners, and service providers
We share relevant booking or community-game information with venue owners, admins, coaches, trainers, captains, payment providers, email or messaging providers, analytics tools, hosting providers, and support tools only where needed to operate PitchLink.
Venue partners may receive customer or organizer information needed to confirm a booking, manage access, resolve a dispute, arrange a refund, or support venue operations.
We do not sell personal data. If we work with service providers, they should only process information for the agreed service purpose and under reasonable confidentiality and security expectations.
6. Security, retention, and deletion
We use reasonable technical and organizational measures to protect accounts, booking records, payments, and platform data from unauthorized access, misuse, loss, or alteration.
We keep information for as long as needed for the purpose it was collected, including active account use, booking history, financial reconciliation, support, legal obligations, dispute resolution, fraud prevention, analytics, and platform safety.
When information is no longer needed, we aim to delete, anonymize, or archive it in line with operational and legal requirements.
7. Cookies, analytics, and device information
PitchLink may use cookies, local storage, analytics events, and similar technologies to keep users signed in, remember preferences, improve performance, understand page usage, support maps or location-based features, and protect the platform.
Some browser or device information may be collected automatically, including IP-derived region, pages visited, referring pages, device type, browser type, and interaction events.
8. Booking, payment, cancellation, and refund terms
PitchLink helps connect customers with venues and may support direct bookings, assisted booking requests, owner-managed bookings, Featured Sports Promos, booking links, and payment follow-ups.
Prices, deposits, balances, payment deadlines, payout rules, cancellation windows, refunds, rescheduling, venue access, equipment, and no-show handling may vary by venue or promo. Venue-specific terms shown during booking or confirmed by the venue take priority where they apply.
Payments may be processed by third-party payment providers. A successful payment instruction does not always mean the venue has accepted every booking detail unless the booking status confirms it.
9. Community games, teams, results, and standings
Community hosts and team contacts are responsible for submitting accurate game details, venue information, participant expectations, team names, scores, and result updates.
PitchLink may display public community game details, participant counts, team names, submitted scores, result labels, team records, standings, ratings, and related activity where those features are part of the platform.
PitchLink may moderate, hide, edit, reject, or remove games, teams, results, standings entries, images, descriptions, or user content that appears unlawful, misleading, unsafe, abusive, spammy, explicit, discriminatory, unrelated, or harmful to the platform.
10. User responsibilities
Users must provide accurate information, respect other players and venue staff, follow venue rules, keep account credentials secure, avoid impersonation, and avoid uploading or sharing unlawful, abusive, misleading, private, or infringing content.
You should not use PitchLink to harass others, scrape data, interfere with security, bypass payment or approval flows, publish another person's private information without authority, or misuse team and community features.
11. Children and minors
PitchLink is primarily intended for adults and organized sports users. If minors participate in a booking, team, training, or community activity, the responsible adult, parent, guardian, coach, captain, or organizer must ensure appropriate consent and supervision.
We may remove or restrict information if we believe a child's personal data has been submitted without proper authority or where continued publication creates a safety or privacy concern.
12. Liability and platform availability
PitchLink aims to keep venue, booking, pricing, availability, community, and ranking information useful and current, but some information may depend on users, venues, owners, payment providers, captains, or third-party services.
The platform may be updated, interrupted, corrected, limited, or unavailable from time to time. To the extent allowed by law, PitchLink is not responsible for indirect losses, missed games, venue decisions, user conduct, third-party outages, or information supplied by users or partners.
13. Updates to these policies
We may update these policies as PitchLink features, operations, legal requirements, or partner workflows change. The latest version will be posted on this page with an updated date.
Continued use of PitchLink after changes are posted means you accept the updated policies for future use of the platform.
Contact and requests
To ask for account help, data access, correction, deletion, content removal, booking review, or a privacy clarification, email PitchLink with enough detail for us to identify the relevant account, booking, team, game, or venue.
